The 8th edition of the Come Together Community’s main event of the year, the Annual Come Together Charity Music Festival, is around the corner! While everyone at Come Together is getting busy finalizing the last details for the event, we may need your help to ensure that everything runs smoothly on the day.

We are looking for volunteer managers in the following areas:

- VIP Manager VIP区经理

- Cleaning Manager 保洁经理
- Medical Manger医护经理
VIP Manager VIP区经理
Before the event:
活动前
- Finalise list of VIPs with Sponsor Manager and Band Manager and provide to Tickets Manager (to verify for VIP wristbands on day of event)
- 与赞助商经理和乐队经理确认最终VIP名单，并提供给票务经理（在活动当天核实VIP腕带）
- Plan the layout for the VIP area (check with CTC staff) and prepare equipment required for VIP Area (list of all available equipment will be provided, anything requested to be ordered must be submitted to CTC board for approval in good time)
- 规划VIP区域的布局（与CTC人员进行核对），准备VIP区域所需的设备（提供所有可用设备的清单，任何需要订购的设备必须及时提交CTC董事会审批）
- Ensure any food and drink catering is organised (if required) and that the caterer understands budgets, limitations, duration they’re required to be present and provides us with any requirements/questions they have in good time
- 确保所有的餐饮服务都是有组织的（如果需要的话），并确保餐饮服务商了解预算、限制、需要出席的时间，及时向我们提供他们的任何要求/问题
- Organise any sponsored alcohol for VIP area (Speak to InternChina Bar Manager)

- Organise any other special touches you can think of!

- Speak to Security Manager regarding their obligations on day of event

- Politely but firmly only permit those with VIP wristbands to enter the area
- 礼貌但坚决地只允许带VIP腕带的人进入该区域
- Understand the correct actions to direct those who feel they should be granted access on how to get their wristband (tell security how to get in contact with you/ VIP guests should enquire first to the Ticket desk to collect wrist band)

During the event:

- Meet your volunteers at designated meeting point to distribute t-shirts, lanyards, water and tokens

- Ensure VIP attendees are looked after
- 确保在场的VIP客人得到照顾
- Resolve any issues relating to access (security)

- Run a fun and exciting VIP area!

After the event:

- Ensure borrowed and purchased equipment is appropriately taken down and returned to allocated collection point

- Check for lost property and return any items to Lost and Found point

- Collect feedback from VIP attendees on their experience
- 收集在场VIP客人的反馈
Equipment, Setup and Takedown Manager设备、安装和拆卸经理
Before the event:

- Create/maintain a total inventory list of available equipment and descriptions are accurate
- 创建/维护可用设备的总库存清单，描述准确
- Check the quality of any equipment to be used on day of event wherever possible
- 尽可能检查当天使用的所有设备的质量
- Liaise with individual Volunteer Managers where relevant to inform them of any equipment available to them to hire for the event

- Compile and communicate Volunteer Manager equipment requests with CTC staff, using your judgement to ensure distribution to each area is reasonable

- Ensure allocated equipment is fit for purpose (using recorded dimensions and site map)

- Stay in contact with your setup and takedown volunteers via WeChat group to answer any queries, ensure they arrive punctually and understand their responsibilities

During the event:

- Meet your volunteers at designated meeting point to distribute t-shirts, lanyards, water and tokens

- Coordinate volunteers to ensure everything is set up correctly for each area with the agreed allocation of equipment
- 协调志愿者，确保每个区域的设备配置都正确
- Ensure equipment is used appropriately, safely, and in ways that will not cause damage
- 确保设备使用恰当、安全、不会造成损害
- Deal with any ‘last minute’ equipment issues or requests from Volunteer Managers

- Securely look after any lost property on the day and make a record of any items that are handed in/ collected (with proof of ownership and record ID for valuable items)

After the event:

- Ensure that every area is appropriately taken down

- Ensure all equipment returns to the agreed collection point/ returns to the owners

- Compile a list of any items that aren’t accounted for and ensure they are securely stored.

- Ensure any unclaimed items are mentioned in the CTC groups to establish ownership

Security Manager 安保经理
Before the event:

- Visit venue and determine various locations where security team need to be posted

- Work with Volunteer Manager to create a shift plan for volunteers (same posting all day is incredibly tedious!)

- Stay in contact with volunteers via WeChat group to answer any queries, ensure they understand their responsibilities and they arrive punctually

- Complete a risk and issues assessment for any anticipated challenges on day of event
- 在活动当天完成任何超出预期挑战的风险和问题评估
During the event:

- Complete a sweep prior to opening to public to ensure no public are on site

- Meet volunteers at designated meeting point to distribute t-shirts, lanyards, water and tokens

- Ensure that volunteers are informed about the shift plan : check wristbands, give them a site tour so they can direct people with questions

- Patrol venue to relieve people from shifts as they change, ensure everyone is positioned in correct locations

- Manage any security and safety-related issues/challenges

- Provide a brief report to CTC staff

Projector Manager 投影经理

- Secure high-resolution graphics for LED screen from Sponsor Manager/CTC Staff

- Coordinate with sound engineers for technical requirements

- Coordinate with CTC for general responsibilities and equipment requirements

- Communicate with Equipment Setup/ Takedown Manager for any equipment required for rent/purchase

- Recruit qualified medical volunteers for the event

- Inform Volunteer Manager of volunteer details

- Meet volunteers at designated meeting point to distribute t-shirts, lanyards, water and tokens

- Manage the First Aid stand and resolve any problems which arise

After the event:

- Ensure that every area is appropriately taken down

- Ensure all equipment returns to the agreed collection point/ returns to the owners

Cleaning Manager 保洁经
Before the event:

- Stay in contact with volunteers via WeChat group to answer any queries, understand their responsibilities and ensure they arrive punctually
- 通过微信群与志愿者保持联系，回答任何问题，确保他们准时到达并了解他们的职责
- Communicate with Equipment Setup/ Takedown Manager for any equipment required for rent/purchase
- 与设备安装/拆卸经理沟通租赁/采购需要的任何设备
- Ensure public areas are in good condition following event setup prior to opening to public
- 在向公众开放之前，确保公共区域在活动设置之后处于良好的状态
During the event:

- Meet volunteers at designated meeting point to distribute t-shirts, lanyards, water and tokens

- Ensure the event remains tidy and any waste/litter is put in provided bins and spillages are quickly cleaned
- 确保活动保持整洁，任何废物/垃圾都要放入指定的垃圾箱，并迅速清理溢出物
- Maintain the cleanliness of all areas in general, including toilets and other public areas
- 保持所有区域的清洁，包括厕所和其他公共区域
After the event:

- Ensure all equipment returns to the agreed collection point

- Make sure all areas are ready for professional cleaning teams

Knowledge of both Chinese and English is preferred for all roles.

Come Together Charity Music Festival 2019 will take place on 7th December from 3pm at LET’S Cultural District and we’d love you to be a part of it again! Returning and first-time volunteers are all welcome. Please share this post with your friends and get them involved! All volunteers will receive a free T-shirt, bottled water, and tokens. Volunteer e-certificates will be available after the event upon request.

Come Together is a registered NGO in Zhuhai that operates with 100% transparency to raise funds for worthwhile projects that benefit underprivileged children locally. Its annual music festival brings local and foreign communities together to have fun, enjoy music and give back to the community.
